BuildQS is a service provided by Construgantt Ltd. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application for construction work completion and payment application tracking.

2. Information We Collect

• Account information (name, email address, profile picture)
• Project data (project names, client details, contract values)
• Valuation and payment application data
• Team member information for collaboration features
• Communications with our support team
• Partner application information (full name, company or organisation, work email, optional website or LinkedIn URL, partner type, expected client reach, and promotion plan)
• Partner application review records (application status, internal review notes, reviewer identity, and review date, plus the linked partner record if accepted)

3. How We Use Your Information

• Provide, maintain, and improve our services
• Process and track your valuation and payment applications
• Send you technical notices and support messages
• Respond to your comments and questions
• Review and respond to your application to the BuildQS Partner Programme
• Protect against fraudulent or illegal activity

4. Legal Basis for Processing

For partner applications, we rely on our legitimate interests in assessing programme fit and operating the programme responsibly and, where applicable, on taking steps you request before entering a partner agreement.

5. Third-Party Services

We may integrate with third-party services: secure email/password authentication with optional 2FA, Xero for accounting integration, OpenAI for AI-powered support, and payment processors for subscription billing.

Partner applications are sent to our support inbox through our email delivery provider. Authorised BuildQS support and admin staff review them internally, may record internal notes, and manually decide whether to accept or reject each application.

6. Data Security

We implement appropriate technical and organisational measures including encryption in transit (HTTPS), secure session management, rate limiting, and access controls.

7. Partner Application Retention

We retain unsuccessful partner application information for up to 24 months after our final decision. If accepted, the information may form part of the partner relationship record and be retained while that relationship continues and for up to six years after it ends where needed for legal, tax, or accounting records.

Separate partner programme terms govern any approved relationship; applying does not guarantee acceptance.

8. Your Rights

Under UK GDPR, you have the right to access, correct, delete, object to processing of, and request portability of your personal data.
